Please familiarise yourself with our terms and policies before accessing our coworking space.

Terms and conditions

“Ruapehu Colab” is a coworking space operated by Ruapehu Labs Limited. This Terms and Conditions Agreement (“Agreement”) governs the use of Ruapehu Colab's facilities and services (“Facilities”). By accessing or using our coworking space, you agree to be bound by this Agreement. If you do not agree with any part of these terms, you may not access or use our facilities.

1. Passes and membership

  1. Casual “Passes” may be purchased for access to facilities for a single specified day or part thereof.
  2. “Memberships” may be purchased for regular and long-term access to facilities.
  3. Fees for casual passes are paid in advance before accessing facilities.
  4. Fees for memberships are paid on a recurring basis, according to the membership plan.
  5. Refunds are to be provided in accordance with our Refund Policy.

2. Desk passes

  1. A casual “Desk Pass” grants one person access to a desk workspace for a single or half day.
  2. Desk workspaces shall not be used beyond the time limits allocated by the pass.
  3. The meeting room for 1 hour at no additional cost with any desk pass.
  4. Additional meeting room use must be paid for at the standard rate or risk termination of the pass.
  5. Desks and meeting room are subject to availability.

3. Meeting room passes

  1. A “Meeting Room Pass” pass grants access to the meeting room for the duration specified by the pass.
  2. The meeting room shall not be used beyond the time limits allocated by the pass.
  3. Guests are welcome in the meeting room in accordance with our Guest Policy (§7 of this agreement).
  4. A desk pass must be purchased separately to use a desk workspace.

4. Memberships

  1. A “Membership” grants access to a desk workspace with the same benefits as a desk pass.
  2. The number of days/hours allowed per week/month will be negotiated with the member.
  3. Extended stay passes may be cancelled in accordance with our Cancellation Policy.

5. Use of facilities

  1. Make use of our facilities responsibly and in accordance with our guidelines.
  2. Members shall not make use of our facilities beyond the time limits allocated by their pass or membership plan.
  3. Members shall not make use of facilities which are not included in their pass.
  4. Make use of freely available amenities such as tea and coffee, and printing within reasonable limits.
  5. Report any issues or damages to a team member on site or to hello@ruapehucolab.nz immediately.

6. Conduct

  1. Members and their guests must conduct themselves in a professional and respectful manner.
  2. Disruptive behaviour, harassment, or any unlawful activities will not be tolerated.
  3. Keep noise levels appropriate for a working environment.
  4. Members and guests are to behave in accordance with our “Code of Conduct”.

7. Guest policy

  1. Members are welcome to bring a limited number of guests within reason.
  2. Guests must be accompanied by the member at all times.
  3. Members are responsible for the conduct of their guests.
  4. Guests may join members holding a hot-desk pass only at the desk workspace associated with that pass; a separate hot-desk pass must be purchased to make use of an additional desk workspace.
  5. Guests may make use of freely available amenities such as tea and coffee, and printing within reasonable limits.

8. Data

  1. Make use of our data network within reasonable limits.
  2. Ruapehu Colab reserves the right to terminate access to our network for breaching reasonable use such as excessive upload or download traffic, or unlawful activities.
  3. Data transmitted over our network is the responsibility of the member; Ruapehu Colab is not liable for any loss or interception of data as a result of member activities, nor any loss or damage from unlawful activities carried out by the member on our network.

9. Liability

  1. Members and their guests use the coworking space facilities at their own risk.
  2. Personal belongings are the responsibility of the member; Ruapehu Colab is not liable for any loss or damage.
  3. Ruapehu Colab is not liable for any injuries, damages or losses incurred on the premises.
  4. Security cameras are in operation covering both entryways for the safety of members and guests; desks, screens, and meeting rooms are not covered by security cameras.

10. Termination

  1. Ruapehu Colab reserves the right to terminate membership for violation of these terms and conditions.
  2. No refunds will be provided in case of termination due to violation.

11. Amendments

  1. Ruapehu Colab reserves the right to amend these terms and conditions at any time.
  2. Notice of amendments will be posted on our website.

12. Website

  1. The Ruapehu Colab website https://ruapehucolab.nz (”Website”) is provided for general information only.
  2. We reserve the right to update the content on the website at any time.
  3. Ruapehu Colab is not responsible for information on the website that is not accurate, complete or current.

13. SimplyBook.Me

  1. Ruapehu Colab uses the SimplyBook.Me platform to manage passes and bookings.
  2. While using the SimplyBook.Me platform you are subject to their terms and policies including the “Terms and Conditions”, “Privacy Policy”, and “Data Processing Agreement”.
  3. Ruapehu Colab is not responsible for information on the SimplyBook.Me platform that is not accurate, complete or current.
  4. Ruapehu Colab is not liable of any loss or damage incurred while using the SimplyBook.Me platform.

14. Stripe

  1. Ruapehu Colab uses the Stripe platform to process payments.
  2. While using the Stripe platform you are subject to their terms and policies including the “Terms and Conditions”, “Privacy Policy”, and “Data Processing Agreement”.
  3. Ruapehu Colab is not responsible for information on the Stripe platform that is not accurate, complete or current.
  4. Ruapehu Colab is not liable of any loss or damage incurred while using the Stripe platform.

15. Governing law

  1. This Agreement shall be governed by and construed in accordance with the laws of New Zealand.
